How the AUT Alumni Network collects your data, why, who sees it, and how you control it.
Last updated:
Who we are
The Alumni Network is a platform run by Aqaba University of Technology through its Alumni Office, at autalumni.university. The university is responsible for the personal data collected on this platform, under Jordan's Personal Data Protection Law No. 24 of 2023.
What we collect
When you ask to join:
- Your student number, graduation year, programme and degree.
- Your name in Arabic, and in English if you give it.
- Your email address and phone number.
- Your password, stored with one-way encryption so that nobody, including office staff, can read it.
- The date you agreed to this policy.
What you add to your profile yourself, all of it optional:
- Your work situation, job title and employer.
- Whether your work relates to your programme, and when you got your first job after graduating.
- Your country and city, a short bio, your skills, and your LinkedIn link.
When you register for an event: your name and email, your phone number if you give it, and whether you attended.
Technical data: we record your device's IP address with sign-in attempts and form submissions to stop password guessing and spam, and delete these attempts within days. We also keep an internal security log of important actions, such as signing in and the alumni office's decisions on requests, with the date and IP address.
Why we use it
- To check that you are a graduate, by matching your request against university records before activating your account.
- To run the network: your account, your profile, the alumni directory and event registration.
- To email you about your account: confirming your email, resetting your password, the outcome of your request, and event registrations or cancellations. We do not send marketing emails.
- To prepare the graduate follow-up reports that accreditation bodies require, such as employment rates and time to first job. These reports use combined figures with no names.
- To protect the platform from misuse.
On what basis
We process your data on the basis of the explicit consent you give when you ask to join or register for an event. You can withdraw your consent at any time, as described under "Your rights" below. Withdrawing does not affect processing that happened before.
Who sees your data
- You decide. Each section of your profile can be shown to everyone, to signed-in graduates only, or to no one, and you can change this at any time.
- Your email and phone number are never shown to visitors, and only shown to graduates if you allow it.
- Your answers on whether your work relates to your programme and when you got your first job are never shown on the site; they are used for statistics only.
- Authorised Alumni Office staff see full account details to review requests and run the network.
- We do not sell or rent your data, and do not give it to employers or anyone else for marketing.
- We may disclose data if the law requires it or a competent court asks for it.
Service providers and where data is kept
The platform and its data are hosted by Hostinger, which also provides the mail server we send emails from. Its servers may be outside Jordan; we choose a provider and settings that protect your data at least as well as Jordanian law requires. The provider does not use your data for its own purposes.
How we protect it
- Connections to the site are encrypted (HTTPS).
- Passwords are stored with one-way encryption.
- Access to the office dashboard is limited to staff with personal accounts, and every action is logged.
- Repeated sign-in attempts are limited to stop password guessing.
If a breach happens that could harm you, we will tell you and the competent authority within the times the law sets, and tell you what to do to limit the harm.
How long we keep it
- We keep your account data while your account exists.
- If you ask us to delete your account, we delete it and its data, including your profile and event registrations, within 30 days of your request.
- Email confirmation links expire after 48 hours, and password reset links after one hour.
- We delete the security log after one year.
- Combined figures in reports prepared before the deletion remain, because they contain neither your name nor anything that identifies you.
Your rights
You have the right to:
- See your data and get a copy of it.
- Correct or update it; you can edit most of it yourself on your profile page.
- Change who sees each section of your profile.
- Withdraw your consent and ask for your account and data to be deleted.
- Object to any use of your data.
To use any of these rights, contact the alumni office at Aqaba University of Technology, from the email address on your account so the office can be sure the request is yours. We reply within 30 days, at no cost to you.
If you believe your data has been processed unlawfully, you can complain to the Personal Data Protection Unit at the Ministry of Digital Economy and Entrepreneurship.
Cookies
We use only two cookies, both needed for the site to work:
- A session cookie that keeps you signed in. It is removed when you sign out or close your browser.
- A language cookie that remembers whether you chose Arabic or English.
We use no tracking, advertising or third-party analytics, and our fonts are served from our own server.
Changes to this policy
If we change this policy, we publish the new version here with its date. If the change is significant, such as using your data for a new purpose, we will email you and ask for your consent before it applies.
